Cancellation Policy

If you need to cancel or reschedule your booking / trip, please contact us as soon as possible.

All Bookings: Bike Transport / Airport Transfers / Shuttles / Standar

- Cancellation more than 10 days notice
   100% refund or rescheduled trip

- Cancellation 9 day to 24 hours notice 
   75% refund or rescheduled trip*

- Cancellation less than 24hrs notice
   No refund*

 

*We understand that mountain biking is a risky activity. If you are injured leading up to your trip & cannot participate, or there is another factor outside your control, we'll use our discretion to make sure you're looked after.

If you are injured in the early stages of your actual trip / tour & cannot continue, Unfortunately we cannot offer you any refund.  


Custom & Multi-day trips (& Agent Bookings)
Full payment required within 21 days prior to trip commencement date.

- Cancellation more than 10 days notice
   100% refund or rescheduled trip

- Cancellation 9 day to 24 hours notice 
   75% refund or rescheduled trip

- Cancellation less than 24hrs notice
   No refund 


Note - For longer lead-in custom & multi-day trip bookings, A 20% deposit may be required at time of confirmation if 3rd party operators are part of the trip (accommodation / transport / hut fees etc)
If 
3rd party cancellation policies are different from ours, this 20% deposit may not be able to be refunded regardless of notice period.

Trip Departure Times / Duration 

Our operation is dynamic as it involves the outdoors with big mountains, weather, transport & helicopters.
When your booking comes in, we then arrange all other logistics, such helicopter flights etc.
For the majority of our helibike trips, we aim for a 9am departure, but as our helicopter operator may already be committed to other operations on that date, we may have to depart later (or in rare cases) earlier.
We will be in touch with you ASAP after your booking comes in to confirm your departure time, 
Because of this factor, we ask that you do not book any other activities for the same date until you have a confirmed departure time from us.
If you would like a specific departure time, early or late... (We can depart as late as 4pm for certain half day trips in the height of summer & maximum daylight) please get in touch with us

Weather / Operational Cancellation Policy

If we cannot undertake the trip (or cannot reschedule you to another day / date) due to unfavorable weather conditions or other unforeseen operational circumstances, you will be given a 100% refund. 

Minimum booking numbers

Some bookings / trips require a minimum number of people to go ahead and will be combined with other individuals or groups to confirm trips.
If your booking is under the minimum numbers, we'll be in touch ASAP to look at accommodating you as best we can.
If we cannot accommodate or consolidate your booking into a confirmed trip, 
you will be given a 100% refund. 

If your group is smaller or you want an exclusive helibiking experience, please give us a call or email to discuss a private trip.
 

Minimum age

Kids are ripping on bikes these days! so its only fair they can come helibiking too

Kids as young as 8 years old can come on our trips, as long as they have the skills & stamina required to endure the descent etc
Note - Parental (Or an assigned person) guardianship (accompaniment) is required for all kids under 16 years old

Riding skills required

Our helibike rides & Coronet shuttles cater for intermediate (grade 3/4 and above), through to expert mountain bikers. Most of our tracks are either rough, backcountry trails, or purpose built MTB singletrack, so previous mountain biking experience is required. Unfortunately, we do not have a trip for beginners, however, our Crown Peak helibike trip has a variety of terrain options that can cater to a broad range of skill levels. If you’re not sure of your skill or experience level please contact us and we'll be happy to give you some guidance.

Spectators / Heli Scenic Flight

If you have people in your group or family that aren't up for Heli-Biking, we can arrange for them to come along for the heli flight only, (limited spaces) and after seeing you off on the ride from the top of the mountain, they will fly back as a return flight to our helicopter base. Please get in touch with us if this option appeals to you.
 

MTB biking season

Our MTB & heli-biking season is from 1st October to 31st May, weather & trails conditions dependent!

Bikes

You are welcome to bring your own analog bike, as long as it’s under 18kg (due to heli bike rack weight restrictions).
We recommend a full suspension mountain bike that is in good working order. Please bring any tools specific to your bike in case you have a mechanical issue on the ride e.g. spare hanger, tube etc. Please also make sure any additional fixtures e.g. spare tubes, water bottles, are removed from your bike prior to flying (they can be reattached after the flight if necessary).

E-Bikes on Helibike Trips

Please contact us directly if you wish to bring an ebike on our Helibike trips, Most of the time we can accommodate ebikes on our trips, but as we have weight restrictions on our helicopter bike racks, as well as some safety procedures in regards to carriage of lithium batteries etc, please get in touch.

Bike Hire

You can hire a Specialised Status 160mm Full Suspension Bike from us for $189 (per day).

Or a full suspension E-Bike from $229 (per day)
Just let us know your height, weight, pedal preference for clips or flat pedals & brake set up in advance so we can make sure to have the bike set up for you prior to your trip. (You can bring your own clip pedals that match your shoes & we can fit them to your hire bike.)

Hire bikes also come with half shell helmets and gloves if you need them. Alternatively you can bring you own helmet & protective gear if you wish.
(NOTE - we DO NOT offer knee / elbow pads or other protective gear as part of your bike rental, for hygiene reasons)

What to bring

  • Bike, helmet, protective gear (unless you are hiring this from us)

  • Backpack (You can hire one from us with water & sunscreen too if needed)

  • Enough hydration and snacks for the duration of your trip (Snacks for a half day / Lunch etc for a full day trip)

  • Clothing appropriate for bike riding and potentially cold, wet weather, including a spare jacket. 

  • Sunblock

Transport

For heliBike trips, take advantage of our complimentary shuttle pick up and drop off point from Athol Street Carpark / Bus stop in downtown Queenstown.
For QBT shuttles, we have a central Queenstown pick up point (Athol Street Carpark)
Alternatively, let us know where you are staying and we can potentially pick you up from your accommodation or another location.

Custom or Private trips

If you would like us to provide you with a packed lunch, a different type of hire bike, a different type of ride or a ride package for several days, please let us know. We would love to help personalise your day so that you get everything you want out of it and we can make it the trip of a lifetime for you.

 

Safety First

At HeliBikeNZ we have a huge focus on safety from the helicopter to the riding itself. We’ll brief you on everything you need to know about safety around the helicopter before take-off, as well as instructions about the trail and the route down the mountain. Our qualified guides are all trained in outdoor first aid and carry a full first aid kit with them to treat any emergencies that could happen on the trail. They also carry an emergency beacon and a tracking device 

Compliance & Certification

HeliBikeNZ is a registered and certified Adventure Activity Operator. We are audited annually by Worksafe NZ (government regulator) and adhere to the highest standard of safety systems and procedures.
